Position title: Database Officer

Reports to: Database Manager

  1. Introduction of the role:

WWF-Singapore is looking for a new Database Officer. This is an excellent opportunity to embed your skills into a dynamic role, playing a key part in the overall support of the organisation.
Reporting to the Database Manager, you will provide support to the organisation through processing income including donations, as well as having overall responsibility for all database management.
To be considered for this role, it is essential to have previous experience in database management and administration, ideally relating to gift, donation and income processing, with experience of using a CRM system or fundraising database such as Raiser's Edge or Salesforce. It is essential to have excellent attention to detail and an understanding of data protection legislation is highly desirable, but not necessary.

  1. Major Functions:

The Database Officer, alongside with the Database Manager, will be responsible for managing all supporter information systems (Raisers Edge, Salesforce, ActiveCampaign, ContactSpace, amongst others) for WWF-Singapore fundraising and retention programs. This includes gift processing and acknowledgments, as well as managing data import and data entry, data extraction, data quality initiatives, and other related activities. The Database Officer will work closely with the Data and other stakeholders across WWF-Singapore to understand data needs and develop actionable insights.

  1. Essential Duties and Responsibilities:

Systems and database management:

  • Alongside with the Database Manager, manage all aspects of the databases including data integrity, updates and corrections

  • Develop effective and efficient systems to manage data connections and transfers between the CRM and other WWF systems

  • Manage vendor relationships to support development operations

  • Build imports within the CRM for a consistent approach ensuring accurate, clean and de-duplicated data

  • Complete data cleansing and health checks on a regular basis

Gift Entry, Acknowledgments & Reconciliation:

  • Enter gifts into database with appropriate coding and packaging

  • Generate pledge reminders and donation receipts for supporters

  • Manage the month-end process, trouble-shooting and auditing data to ensure the smooth transfer of data to the Finance team

  • Perform a monthly reconciliation report and review with Finance team

Support the Database Manager on the CRM migration to Salesforce:

  • Alongside the DB Manager, strategize and plan an entire project, including moving the data and converting content as necessary, while considering risks and potential impacts

  • Support the data migration from 4-5 systems into Salesforce and perform migration and testing of static data and transaction data from one core system to another

  • Defining and executing data cleansing so that it can be effectively moved between systems and platforms

  • Perform source system data analysis in order to manage source to target data mapping

  • Test the new system after the migration process as well as the resulting data to find errors and/or points of corruption

  1. Profile

  • College degree and/or certification in Information Technology, Marketing, Data Analytics and Data Management, Business Administration and/or an equivalent combination of industry experience

  • Minimum of 4 years of experience with CRM, databases or data systems, including data architecture and design experience and data cleansing

  • Previous administration of CRM software systems is essential

  • Previous administration of Raiser’s Edge / Blackbaud and/or Salesforce is preferred

  • Proven track record in participating in data migration projects is highly desired

  • Experience working in or knowledge of the charity sector

  • Proficiency in Microsoft Office (emphasis on Excel)

  • Knowledge and experience in the following tools is preferred: Tableau, Salesforce and Raiser’s Edge / Blackbaud

  • Organized, detail-oriented, good time management skills and able to balance multiple priorities effectively

  • Flexible, resourceful and able to perform despite tight schedules

  • A strong interest in conservation is desired

Internal – Working closely with Fundraising, Communications, Conservation, Sustainable Finance, Corporate Partnerships and Philanthropy teams to deliver against cross organisational business objectives

External – Coordinating with external vendors relating to platforms and systems and database solutions experts
