WHISTLEBLOWING POLICY

WWF-Singapore is committed to a “Speak Up” culture which allows people to safely raise concerns of inappropriate conduct by employees of WWF-Singapore, its partners and people associated with WWF-Singapore, without fear of reprisals.

WWF-Singapore provides a mechanism for the reporting of concerns you believe affect public interest and protects you from retaliation. This is in line with WWF-International’s standard “Speak Up” policy.

INAPPROPRIATE CONDUCT

Inappropriate conduct, or misconduct, includes a wide range of personal actions or behaviours at the workplace or in performing WWF-Singapore’s duties, including but not limited to: discrimination, harassment, sexual harassment, bullying, intimidation, verbal or physical assault, child abuse, abuse of power, theft, fraud, corruption including bribery, breach of personal data privacy and confidentiality, or other breaches of internal policy which create legal, financial or reputational risks to WWF, including negligence or lack of action by management which encourages such conduct.

REPORTING

The Policy does not affect your right to raise concerns directly with a regulator or external authority as permitted under Singapore laws. You may report any misconduct anonymously if you wish, and will be protected against any form of harassment, intimidation, discrimination or retaliation for making such a report in good faith.

To facilitate the evaluation and investigation into the concerns raised, the complaint should set out as much essential information as possible. Where possible, the complaint should also include the contact particulars of the person making the complaint (in case of additional information is required).

The complaints should be submitted to the attention of the department of Human Resources of WWF-Singapore:

DUTY OF CARE AND NO RETALIATION

WWF-Singapore has a duty of care to protect victims from further abuse, including quickly making available a skilled “first responder” who can provide victims the care and support they need.

WWF-Singapore also has a duty of care to reporters – to protect from retaliation – as well as to accused parties, who have a right to an impartial investigation, confidentiality of information raised, and fair treatment.

WWF-Singapore strongly disapproves of any form of retaliation against anyone who reports concerns of misconduct in good faith. Any employee who engages in retaliation – whether toward a victim or a reporter of alleged misconduct – will be subject to discipline up to and including termination. Reports of retaliation will be investigated promptly in a manner intended to protect confidentiality as much as practicable, consistent with a full and fair investigation.

Personal Data Protection Policy

Your privacy is important to us. This Personal Data Protection Policy explains our policy on collecting, using and disclosing your Personal Information. The processing of your Personal Information is also subject to applicable laws. The Personal Information which you provide to us whether from now on or previously will be used and processed, and continued to be used and processed by us, in accordance with this Personal Data Protection Policy (as amended, varied or revised from time to time). We will take reasonable care and precaution to prevent the loss or misuse of your Personal Information. We may amend, vary or revise this Personal Data Protection Policy from time to time. If we revise the Policy, we will post the changes on our website or send a copy of the revised Policy to you by post or email.

“Personal Information” means any information in our possession or control that relates to you to the extent that you may be identified or identifiable from that information or in combination with other information in our possession.

“We“, “us” or “our” means WWF-World Wide Fund for Nature (Singapore) Limited.

1. Personal Information

(a) Information you provide to us:

Personal Information we collect from you, includes but is not limited, to personal details such as name, identity card number, age, gender, nationality, date of birth, address, telephone number, email address and other details you provide when you apply to be a member/donor/supporter/volunteer/pledge of WWF-Singapore. We will not collect any other personal information about you, except that which is knowingly and specifically supplied to us by you as stated above.

(b) Information third parties provide about you:

We may also receive Personal Information about you from your friends and third parties that work with WWF-Singapore. In such cases, our Personal Data Protection Policy shall apply to the Personal Information we receive about you from third parties.

(c) Information you provide about third parties:

You may provide us information about others, such as when you give a donation in honour of a friend. The Personal Information you provide (names, email addresses, mobile number, etc.) is used to facilitate the communication and is not used by us for any other purposes unless we obtain consent from that person or we explicitly say otherwise. Please be aware that when we send the communication to the third party, your email address, mobile number, name or user name etc may be included in the communication sent to your addressee(s).

1.2 How Your Personal Information is Collected

The Personal Information we collect from you will be information that are, have been or may be collected by us or third parties who work with WWF-Singapore, or which you provide to us or our commissioned third party agencies from time to time, in connection with any service, transaction, contest, survey, promotion, questionnaire or communication with us or otherwise, and will include but not be limited to the following:-
(a) when you register to be a member/donor/supporter/volunteer/pledge of WWF-Singapore or register your interest with us to obtain information and updates;

(b) information collected regarding your usage patterns or behavior when you visit our website or social networking sites;

(c) Information collected when you enter contests or respond to surveys, promotions or questionnaires from us or our third party agencies;

(d) at the point in time when you make any transaction at any of our third party partners;

(e) any inquiry or communication made with or to us pursuant to or consequential to any transaction mentioned above.

1.3 The Purposes of Collecting and Processing Your Personal Information

The purposes for which we collect your Personal Information are set out below:-

(a) to communicate with you and to respond to your queries;
(b) to process your application, inquiry or request;
(c) to provide information and updates relating to WWF-Singapore or such services you requested in relation to your status as a member / donor / supporter / volunteer / pledge of WWF-Singapore;
(d) for administration of your donation;
(e) to conduct surveys, research and statistical analysis with the aim of helping us monitor and improve our services to you;
(f) to provide information and updates relating to all campaigns and events of WWF-Singapore
(g) to comply with applicable laws, proceedings or inquiries from regulatory authorities, and enforcement agencies or similar purposes;
(h) any other purposes permitted by applicable laws;
(i) to enable us to verify your identity, sanctions screening and due diligence checks as may be required under applicable law or regulation;

Unless we expressly state otherwise elsewhere in this Data Protection Policy, we will not offer, publish or share your personal data with third parties, without seeking your explicit permission.

We will retain your information for only as long as there is a business or legal need.

2. Disclosure

2.1 To facilitate the purposes above and the provision of services to you, we may process, use and disclose your Personal Information to the following classes of third parties: –
(a) regulatory authorities and enforcement agencies;
(b) any court of law or any relevant party in connection with any claim or legal proceedings;
(c) our contractors, service providers, consultants, auditors and advisors on a need to know basis. The Personal Information may in some circumstances be transferred overseas however we will also ensure that these overseas entities we work with observe strict confidentiality and data protection obligations.
(d) We may also disclose personal data about you to our affiliates in the network in order to manage our relationship with you​.

3. Access or Update Your Personal Information

3.1 You are responsible for providing accurate and complete information about yourself and any other person whose personal information you provide us.

3.2 As and when such Personal Information is no longer correct or becomes outdated, you have the right to request for any inaccurate personal data to be corrected by contacting us or submitting fresh information.

4. General

4.1 We retain your Personal Information in accordance with legal, regulatory, business and operational obligations, and have in place security measures to safeguard your personal data. When using external service providers, we require that they adhere to our security standards. Personal Information may be transferred to, or stored at, a location outside of Singapore. Regardless of where Personal Information is transferred, we take reasonable steps to ensure that Personal Information is kept secure.
4.2 If we were already in possession of your personal data prior to 2 July 2014, we may have been using your personal data in connection with any service, transaction, contest, survey, promotion, questionnaire or generally to help us monitor and improve our services to you. . 5. General Consent

By giving or making available your Personal Information, you expressly agree and consent to the collection, use, processing and disclosure of your Personal Information in accordance with the terms of this Personal Data Protection Policy, including but not limited to, consenting to receiving communications and materials from us from time to time.
